Sign your first documents
Examples of signing flows you'll use every day
Once your account is set up and your QES is active, signing documents on Simplifi takes just a few clicks. Here are the four most common flows — pick the one that matches your situation.
1. Upload & sign a single document
From the dashboard, click Upload & Sign, drop your PDF, place your signature where it's needed and confirm with your QES. The signed document lands in your Repository, fully eIDAS-compliant and ready to share.
2. Upload & sign multiple documents at once
Need to sign a batch? Drop several PDFs in one go from Upload & Sign. Place your signature on each preview, then sign them all with a single QES confirmation — no need to repeat the flow for every file.
3. Sign everything waiting in your inbox
Open Documents → Waiting for me to see every document others have sent you. Use Sign all to clear the whole inbox in one batch, or open them one by one to review before signing. Each signature is applied at QES level.
4. Sign and forward to a third party
When a document needs your signature first and then someone else's, upload it from Upload & Sign, add the next signer's name and email, place both signature fields, and send. You sign immediately; the third party receives a secure signing link by email and signs after you.
Tips & best practices
Always preview before confirming
Scroll through the document one last time — the QES confirmation is binding and identical to a handwritten signature.
Use batch signing for routine documents
Invoices, NDAs, internal approvals — group them into a single Upload & Sign session to save dozens of clicks.
Track everything in the Repository
Every signed document is automatically archived with its audit trail. You can download, share or verify it at any time.
Forward only when you sign first
Use sign-and-forward when you must initiate the signing order. If the other party signs first, send the document for signature instead.
