Use a Library Template to Send a Document

Import a ready-made template, adapt it to your data, and send for signing

The Template Library gives you a starting point of pre-built documents (contracts, NDAs, agreements). Import one into My Templates, replace the smart fields with your own data, fine-tune the content if needed, and use it to create a document you can send for signing in a few clicks.

1. Why start from a library template?

Library templates are professionally drafted and already structured with smart fields. They save you from writing a document from scratch and ensure that key parties, dates, and clauses are in the right place. Common use cases:

  • Standard service or collaboration agreements
  • NDAs and confidentiality clauses
  • Employment or contractor contracts
  • Recurring documents where only the counterparty changes

2. Step-by-Step

Step 1: Pick a template from the Library

Open Templates and switch to the Library tab. Browse the available templates and open the one you need to preview the content. When it fits your case, add it to My Templates so you can edit it.

Step 2: Replace smart fields with your data

Open the template from My Templates. You are usually one of the parties, so fill in your own smart fields (name, company, address, VAT, etc.) directly in the template. This way, every document you generate later will already have your side pre-filled — you only need to fill in the counterparty's data.

Step 3: Make any other adjustments

Tweak any wording, add clauses, remove sections you do not need, or adjust the signature fields. Save the template once you are happy with it — these changes apply to every future document created from it.

Step 4: Create a document from the template

From My Templates, click Use template. The platform creates a new document based on your edited template. Fill in the remaining smart fields — typically the recipient's data — and review the final document before sending.

Step 5: Add the recipient and send

Add the recipient's name and email, confirm the signing setup, and send the document. The recipient receives a secure signing link by email and signs at QES level. You can follow the status from Documents → Waiting for others.

3. Tips & Best Practices

Fill your own data once in the template

If you are always one of the signing parties, pre-fill your smart fields directly in the template — never re-type them per document.

Keep templates focused

Save one template per use case (e.g. 'NDA — short form', 'Service agreement — RO'). It is faster than maintaining a single complex template.

Preview before sending

Always review the generated document with the recipient data filled in. Smart fields that were not mapped will be visible immediately.

Reuse for every counterparty

Once the template is set up, sending a new document takes under a minute — only the counterparty data changes.
